Automate the Repetitive Parts of HighLevel Onboarding

Reminders, asset requests, task routing, and milestone updates should run themselves. Training, approvals, and exceptions should not. GHL Onboard builds the line between them and staffs the human side of it.

What should you automate?

Choose how each onboarding step should run in your process. We will compare your answers with how we would run it and explain the difference.

Welcome messages

Same message, every time, sent instantly after signup.

Intake reminders

Nudging on a schedule is exactly what a workflow is for.

Asset requests

Requests and follow-ups can run automatically, with a human on the stragglers.

Task routing

Route work to the right owner based on plan, stage, and status.

Milestone updates

Status changes should notify people without anyone remembering to.

Training delivery

Recordings and materials are templated, delivery moments stay scheduled.

Approvals

Someone has to be accountable for signing off on the build.

Live calls

The point of a live call is the human on it.

Exception handling

When the plan breaks, a person decides what happens next.

The point

Automation carries the process. It does not own the outcome.

A workflow can send a reminder forever and never notice that a client has given up. The value of automation is removing the logistics so an accountable person has time for the part that needs judgment: the training session, the awkward blocker, the client who is quietly stuck. Every automated path we build ends in a human owner when it cannot finish the job itself.

Workflow

From sale to activation, including the branches

The happy path is the easy half. The exception states are what keep accounts from disappearing.

1

Sale

Deal closes and the record is created.

2

Welcome

Automated welcome and first instruction.

3

Intake

Form sent, reminders scheduled.

Exception branchNo response after the reminder window goes to a human owner
4

Assets

Checklist requests with tracked status.

Exception branchMissing assets pause the build and raise a flag
5

Build

Snapshot applied, configuration assisted, work routed by task.

6

Verify

Core automations tested before the client sees them.

Exception branchFailed checks route back to the build queue
7

Train

Live session scheduled, recording delivered after.

8

Activate

Milestones marked, handoff notes published.

Exception branchStalled activation triggers an escalation review
What we build

The five pieces that keep automated onboarding honest

The Onboarding OS

One place where every account, stage, task, and note lives, so status is a view rather than a question.

SOPs

Written procedures behind each automated step, including what to do when the automation cannot finish the job.

Escalation rules

Defined thresholds for when a stalled account stops receiving nudges and gets a person instead.

Activation tracking

Milestones that show whether an account is genuinely live, not just created.

Ongoing optimization

A review cadence that changes the process when a step keeps failing.

FAQ

Onboarding automation questions

Can onboarding be fully automated?

The repetitive parts can. Reminders, asset requests, task routing, and milestone updates run well as workflows. Judgment calls, live training, approvals, and exceptions still need an accountable human.

Do you build the automations inside our HighLevel account?

We work inside your account and snapshot at the access level you grant. What is hands-on versus guided depends on your plan and agreed scope.

What happens when a client stops responding?

That is an exception path. Automated nudges run for a defined window, then the account is flagged to a human owner with context instead of quietly stalling.

Will automation make onboarding feel impersonal?

Only if it replaces the human parts. We automate logistics so the human time goes into training and problem solving rather than chasing files.

How do you keep the workflows from rotting?

SOPs, escalation rules, and a review cadence. When a step keeps failing, we change the process rather than adding another reminder on top.

Questions we get asked

Build the workflows, then staff the human side
